The problem with calling someone only when it breaks

When support starts only after something breaks, the business still needs someone to own maintenance, backups and access changes. Compare the responsibilities as well as the price when choosing between reactive support and an ongoing plan.

The costs that hurt are the ones that never show up on an invoice. The drive-time wait while nobody can print invoices. The failed backup nobody noticed until the drive died. The workstation still running an operating system that stopped getting security patches two years ago. The employee who left in March whose email account is still active in September.

Managed IT assigns ongoing tasks to an agreed provider. Monitoring can surface warnings and planned maintenance can address known issues; neither replaces a recovery plan for unexpected failures.

Is this the right service for your business?

For commercial offices, clinics and growing teams that need a clear owner for routine IT support. We start with the systems your business depends on and the responsibilities you want help managing.

Make the scope clear

Your proposal should separate recurring support from onboarding, licenses, replacement equipment and project work. Support hours, response expectations, backup responsibilities and site visits are agreed in writing.

What proactive monitoring actually catches

Monitoring is not a dashboard nobody looks at. It is a set of specific alarms tied to the failures that actually take small businesses offline.

Monitoring can reveal disk health warnings, failed backup jobs, low storage, expiring certificates and missing updates. Some failures arrive without warning, so alerts need to be paired with a recovery plan. Agree which systems are monitored and who acts on each type of alert.

What the help desk is like to actually use

Call or submit a support request with the affected system and business impact. We review the issue and determine the next step. Response expectations and coverage hours are agreed in your service scope.

Where appropriate, remote support lets us work with you without a visit. If the issue needs hands-on work, we arrange an on-site visit from New Albany. Resolution time depends on the problem, parts, vendor availability and agreed coverage.

Vendor management: one number instead of five

A surprising amount of what small businesses call an IT problem is actually a vendor problem. The internet is down and the ISP wants you to reboot the modem for the fourth time. The copier will not scan to email because someone changed an SMTP setting. The point-of-sale vendor says it is a network issue and the network vendor says it is a POS issue.

We deal with them so you do not have to. You call us, we work out whose problem it is, and we sit on hold with them instead of you.

Backup and recovery, tested

Your quote should identify the systems being backed up, retention, monitoring and restore-testing responsibilities. Discuss recovery priorities and an agreed testing schedule before relying on a backup as your business recovery plan.

We plan around two numbers that are worth knowing for your own business: how much data you can afford to lose (which sets how often backups run) and how long you can afford to be down (which sets how we recover). A file server that can be down overnight is a different design from a system that has to be back in an hour.

Agree what your managed IT plan covers

  • Users, workstations, servers and business applications in scope.
  • Support hours, response expectations and how urgent issues are raised.
  • Monitoring, patching, backup retention and restore-testing responsibilities.
  • Onboarding work, equipment replacement and projects billed separately.
  • Staff onboarding and departure requests, approval authority and account handover.

Ask for the system inventory, account-ownership arrangements and an agreed escalation process. Review the plan when you add staff, change applications or open a location.

Common questions

More on the full FAQ, or just call and ask.

Do I have to sign a long-term contract?
No. You do not need a contract to get a quote or an assessment, and we would rather earn the renewal than hold you to a term you regret.
How many computers do I need before managed IT makes sense?
Usually somewhere around five. Below that, most businesses are better served by as-needed support. Above it, the maths on proactive maintenance starts working strongly in your favour, and we will tell you honestly which side of the line you are on.
Can you support software we already use?
In most cases yes. We manage the machines, the network and the accounts underneath your line-of-business software, and we handle the vendor relationship when the application itself needs attention.
What happens if something breaks after hours?
Call to check availability. After-hours coverage and charges depend on your agreement; submitting a website form does not book emergency dispatch.

Have a business project? Let’s discuss the scope.

Tell us what needs to improve. We will discuss your current support and the scope of an assessment before recommending next steps.
