Two ways this usually goes wrong
The first is the migration itself. Email is the one system a business genuinely cannot be without for a day, and a badly planned move loses mail, breaks calendar invitations, strands shared mailboxes or leaves half the office unable to send for an afternoon.
The second is quieter and more common: the migration works, and then nothing else happens. Multi-factor authentication never gets switched on because it seemed like a hassle. The departing employee's mailbox stays licensed and active for a year. Nobody realises that Microsoft hosting your email is not the same as Microsoft backing it up for you.
Business email compromise, where an attacker gets into a mailbox and quietly redirects an invoice payment, is one of the most expensive things that happens to small businesses, and it is overwhelmingly preventable with configuration that takes an afternoon.
Migration, planned and tested
We start by working out what actually has to move: mailboxes and their sizes, shared and resource mailboxes, distribution lists, calendars, contacts, public folders, and file shares with their permissions.
Then we pick an approach that fits. A small office can often move in a single cutover over a weekend. A larger one moves in batches so there is never a moment where the whole business is mid-migration. Either way we test with a pilot group first, keep the old system reachable until the new one is verified, and handle the DNS and mail-flow records so that mail does not bounce during the switch.
Security configuration that is not optional
Multi-factor authentication on every account is the single highest-value thing a small business can do for its own security, and it is included as standard rather than offered as an upgrade.
Beyond that we configure conditional access rules, anti-phishing and impersonation protection, and, most importantly, alerting on the specific things that indicate an account has been compromised, such as a mailbox rule that silently forwards or deletes incoming mail. That rule is the fingerprint of an invoice-redirection attack, and catching it early is the difference between an incident and a loss.
The backup gap nobody mentions
Microsoft and Google run the infrastructure. They are explicit that protecting your data within it is your responsibility, and their retention windows are shorter than most businesses assume.
If an employee deletes a folder and nobody notices for two months, or ransomware encrypts a synced document library, or a departing employee empties their own mailbox, the platform's own recovery options may well have expired. We configure independent backup of cloud mail and files, so recovery does not depend on noticing quickly.
Licensing, right-sized
Microsoft 365 licensing is genuinely confusing, and most small businesses are paying for at least one tier they do not use or one seat belonging to someone who left.
We review what you are paying for against what your people actually need, and adjust. It is not unusual for this to pay for a meaningful share of the migration itself.

- Will we lose email during the migration?
- No. The old system stays reachable until the new one is verified, and mail flow is cut over deliberately rather than all at once and hoped for.
- Should we choose Microsoft 365 or Google Workspace?
- Usually whichever your industry's software expects. If you rely heavily on Excel or on line-of-business applications built around Office, Microsoft 365 is the easier fit. If your team already lives in Google tools, moving them has a cost and little benefit.
- Is Microsoft not already backing up our email?
- Not in the way most people assume. They keep the service running and offer limited retention, which is different from a backup you can restore from months later. We configure independent backup for exactly this reason.
- Can you move us from an old on-site Exchange server?
- Yes, and it is one of the more common jobs we do. Ageing on-site mail servers are usually both the largest security exposure and the largest single hardware risk a small business is carrying.
